FLIGHT MANUAL — DEEP DIVE

A UiPath robot was built to automate the three-way matching process — comparing purchase orders, goods receipts, and vendor invoices — across the client's accounts payable function. Previously performed manually, the match was slow, inconsistent, and prone to human error.

The robot runs continuously, matching the three documents on key fields (vendor, value, quantity, date) and flagging exceptions for human review. Every match decision is logged with a timestamp, creating a complete audit trail that did not exist under the manual process.

The implementation required careful process mapping before any automation. The existing manual process had accumulated workarounds and exceptions that were not documented; these had to be understood, simplified, and validated before the robot could be deployed. Automating a broken process would have simply made the breakage faster.

The robot now processes thousands of transactions per day with consistent application of the matching rules, and the exception queue has become a management tool for identifying process improvements upstream.
